How to Choose Dental Practice Management Software: 10 Questions to Ask
Changing your clinic’s system is not a decision you make every year. The wrong software costs more than its price: training time lost, staff drifting back to the notebook, and data that is hard to get out later. These ten questions help you tell software that will work in your clinic from software that only looks good in a demo.
1. Does it really work in Arabic?
Not just translated menus. Ask: is the layout right-to-left? Do printouts — invoices, treatment plans — come out in Arabic? Can each member of staff work in the language they prefer?
2. Can I try it before I pay?
The best way to judge software is to run your real patients through it for a week. A free plan, or a trial without a card, saves you a lot of surprises.
3. Who owns my data?
Ask directly: if I stop paying, what happens to my data? If I want to move to another system, can I take it with me? Software that deletes or locks your data when a subscription ends makes you a hostage.

4. Scheduling: does it only offer times that exist?
A good calendar builds free slots from each dentist’s working hours, prevents double bookings, and knows the difference between dentists and treatment rooms. Also ask: can patients book online? Is there a waiting list?
5. Are the dental chart and the treatment plan connected to billing?
If the dentist records on the chart and the front desk writes the invoice from scratch, something will eventually be forgotten. Better: the invoice is built from the procedures actually completed.
6. Does it handle how patients really pay?
Patients rarely pay in one go, in cash. Ask about split payments across cash, card and transfer, deposits, installment plans and closing the cash register at the end of the day.
7. Can it message patients on WhatsApp?
Many patients read their messages on WhatsApp. Ask whether the software connects to the official WhatsApp Business platform, or relies on a personal number — the first is safer and doesn’t get blocked.
8. Who can see what?
Each member of staff should see what they need, and no more. Ask about roles and permissions, and about a log that tells you who opened which patient’s file — it matters for privacy, and to protect you.
9. How does support respond?
Ask: if something goes wrong at 7 pm with a full waiting room, who do I talk to, and how?
10. What is the real price?
Ask for the whole price: per chair, per user or per clinic? Any setup or training fees? Does it go up as the clinic grows? What are the monthly and yearly prices?
